This Privacy Policy explains how Helioscape collects, uses, discloses and protects your personal information when you use our website, subscription Grounds services, and Helioscape Rewards programme.

By using our website or services, you agree to this Policy.

2) Scope

This Policy applies to helioscape.net(the Site), to accounts you create with us, to our Vista subscription plans (Low Maintenance, Family, Entertainment, Sanctuary), to one‑off services we deliver, and to our Rewards programme.

3) What we collect

We collect personal information that is reasonably necessary to deliver and improve our services:

  • Identity & contact: name, email, phone, address, billing details.

  • Account details: login credentials, preferences, communication settings.

  • Property & access: service address, site notes (gates, pets, hazards), photos you provide, optional reference photos we take to document work (with your permission where required).

  • Bookings & service history: plan type/frequency, visit dates, variations/quotes, approvals, messages.

  • Transactions: plan purchases, invoices, credits/refunds. We do not store full card numbers; payments are processed by our payment provider (e.g., Stripe).

  • Rewards data: points earned/redeemed, tier, reward selections, delivery details for rewards.

  • Communications: emails, SMS, in‑app/chat messages and feedback.

  • Device & usage data: IP address, browser/device type, pages viewed, referring URLs, cookie IDs and similar technologies used for security, performance, and analytics.

We may also receive information from service providers (e.g., booking tools, payment processors), from publicly available sources, or from people you authorise to act on your behalf.

4) How we use your information

We use personal information to:

  • deliver, schedule and improve our Grounds services and Plans;

  • operate our Rewards programme (earn, manage and redeem points);

  • take and reconcile payments, issue invoices and receipts;

  • communicate about bookings, visits, renewals, service notices and updates;

  • handle support, complaints, and disputes;

  • run security, fraud prevention, quality and training; and

  • meet our legal, tax and record‑keeping obligations.

We may aggregate or de‑identify data for analytics and service improvement. Aggregated/de‑identified data is not personal information.

5) Cookies and similar technologies

We use necessary cookies to run the Site (e.g., login, session, fraud prevention). With your consent where required, we may also use analytics cookies to understand Site usage. You can manage cookies via your browser settings; some features may not work without them.

6) Disclosing your information

We share personal information only where needed for the purposes above, including with:

  • Service providers/contractors under confidentiality (e.g., hosting and cloud infrastructure such as Firebase/Google Cloud; booking and scheduling tools; payment processors such as Stripe; email/SMS providers; analytics and error‑logging tools);

  • Delivery partners/suppliers to fulfil rewards you redeem;

  • Professional advisers and insurers (legal, accounting, audit, insurance);

  • Law enforcement/regulators where required or permitted by law; and

  • Business transfers (e.g., sale or restructuring) subject to confidentiality and applicable law.

We do not sell your personal information.

7) Overseas disclosures

Some service providers may be located or store data outside New Zealand (for example, Australia, the United States, Singapore, the EU). Where we disclose personal information overseas, we take reasonable steps to ensure the recipient is subject to comparable safeguards to those under New Zealand law (for example, through appropriate contractual commitments and security requirements).

8) Marketing communications

We may send you service updates and, if you opt in (or where permitted), marketing about new features, plans and offers. You can unsubscribe from marketing at any time using the link in our emails/SMS or by contacting us. Service and transactional messages (e.g., booking confirmations, invoices) are necessary for your Plan and may still be sent.

9) Retention

We keep personal information only as long as needed for the purposes above: typically for the life of your account plus a period for record‑keeping (e.g., tax and accounting records are generally retained for 7 years). If you close your account, we will delete or de‑identify information that we no longer need, subject to legal requirements and our backup/archival cycles.

10) Your privacy rights (New Zealand)

You have the right to request access to the personal information we hold about you and to request correction if you believe it is wrong or incomplete. We will respond as soon as reasonably practicable and no later than 20 working days. If we do not agree to a correction, you may ask us to attach a statement of correction to our records. We may need to verify your identity before acting on your request.

11) Security

We take reasonable steps to protect personal information from loss, unauthorised access, use, modification or disclosure. Measures include access controls, encryption in transit and at rest where appropriate, device and network security, staff training and vetting, and secure destruction or de‑identification when information is no longer needed. However, no method is 100% secure; please take care with your account and devices.

12) Notifiable privacy breaches

If we experience a privacy breach that we assess is likely to cause serious harm, we will notify affected individuals and the New Zealand Office of the Privacy Commissioner as required by law. We keep an internal breach register and have procedures for containment, assessment and remediation.

13) Children

Our services are intended for users 18 years and over. If you believe a child has provided us personal information without consent, please contact us and we will delete it where appropriate.

14) Third‑party sites and services

Our Site may link to third‑party websites or integrate third‑party tools (e.g., booking, payments, analytics). Those providers have their own privacy practices; we encourage you to review their policies.

15) Changes to this Policy

We may update this Policy to reflect changes in our services or the law. We will post the updated Policy on our Site and update the “Last updated” date. If the changes are material, we will take reasonable steps to notify you (e.g., email or account notice).

  • We may share delivery information with suppliers to fulfil rewards.

  • Points expiry and account inactivity rules are described in your account and in the T&Cs.

Tip: Keep this Policy consistent with your Terms & Conditions and your actual practices (what you collect, how long you keep it, and who you share it with). Update it whenever you add new tools or features.
